The Challenge
Dissatisfied with their existing supplier, Cargo Express reached out to Egress Systems in the spring of 2024, looking for a time and attendance solution for their 130 staff.
Because Cargo Express provide a flexible, responsive logistics solution, they plan their rosters at the last minute, just a few hours before the shift starts. This required an equally efficient and easy-to-use rostering solution. Shift start and end times needed to be completely flexible with no predictable pattern, with break deductions in line with the Working Time Directive. With multiple pay grades and four different pay rates for Day, Night, Saturday and Sunday work, intelligent and automatic timesheet calculations were needed.
With staff working remotely on the road or in the warehouse, Cargo Express required app-based clocking with geotracking. In addition, the desired solution would automatically accrue holiday entitlement, handle holiday requests, and export them to Brightpay payroll.
The Solution
Egress Systems was able to offer a tailored solution for Cargo Express utilising the flexible features incorporated into the Focus cloud-based time and attendance application.
Our team was able to pre-configure bespoke shift rules that automatically calculated hours, pay, and shift premiums, regardless of the start and end time of the shift. Focus’s easy-to-use and flexible Rota feature made last-minute roster planning quick and simple.
The Focus Self-Service app with geo-tracking provided a single, easy-to-deploy solution for both warehouse staff and drivers. Geolocation mapping provides visual data of clocking locations that match driver routes and rest stops.
The Results
By investing our time right at the start of the project in properly understanding Cargo Express’ requirements, we were able to deliver bespoke solutions that worked first time, speeding up deployment and significantly enhancing customer satisfaction. The solution was fully rolled out in under six weeks, including full system configuration and training.
Bespoke reporting and a bespoke payroll export meant that Cargo Express could save time on payroll tasks that were previously completed manually. Cargo Express were also pleasantly surprised that they were able to configure Focus’ timesheets to capture expense data and unique shift premiums, eliminating the need for multiple spreadsheets.
